They must also be independent and continually look for and be prepared for more responsibilities.
This role includes employee life cycle, benefits, compensation, internal communications, and dispute resolution. The successful candidate must always use their leadership, planning, organizational and project management skills to navigate the needs of our firm daily. They must manage time restraints and adapted to rapidly changing job priorities while maintaining focus and drive. Supervise workforce scheduling, including time off for vacation and study leave, while maintaining employee engagement to support overall success of the firm.
The successful candidate must be a part of managing the following areas:
Recruiting and Onboarding
Lead the recruitment cycle and process, from identifying talent requirements to onboarding new hires, while always looking to further improve the candidate journey. Continue to grow relationships on campuses through participation and sponsorship to improve student knowledge of PAND. This role understands the importance of finding the right human resources at the right time and setting people up for success post-hire. Write and send offer letters, pre-hiring communications, lead new hire orientation, coordinating with training manager, onboarding documentation and introductions at the office.
Employee Life Cycle
Support and give career guidance primarily to new students and newly designated staff. Organize annual review documentation and submit to partners for their consideration. Reprimanding and write-ups when necessary along with dispute resolution. Clear communication with payroll department. Conduct exit interviews. Communicate firm wide when necessary on behalf of the firm. Participate in quarterly discussions with other HR representatives within our business community ensuring safeguarding of confidential data but gaining and sharing information where possible.
People operations and Job Planning/Scheduling
Oversee people operations, developing and executing programs, processes, policies, and systems aligned to best practices, compliance requirements, and federal/provincial employment standards. Maintain planning schedule for accounting staff and lead weekly meetings with management ensuring all resources are being utilized effectively while communicating any gaps or overlap that needs addressing. Organizing weekly communication requests with staff to ensure accurate information for management.
Engagement and Culture
Identify and implement opportunities to enrich the overall experiences of our team members at PAND. Initiate and manage recognition opportunities, conduct staff surveys, employee check-in process, and oversee engagement events. General point of contact for any other initiatives staff may think of that need approval.
Manage, develop and advise on our health and benefit platforms. Ensure employees are knowledgeable on what is available to them while maintaining opportunities to keep us competitive in our industry. Attend annual meeting with our benefit advisors bringing knowledge of the PAND team and advocating for their needs while balancing the needs of the organization. Suggest initiatives PAND can consider or improvements to what already exists. General maintenance of all platforms to ensure up to date information in system.
Consultation and Support
Provide guidance and support, acting as a trusted advisor to employees and leadership. Draw from your coaching and performance management expertise, seek ways to foster productivity and performance. Consult on employee issues and matters.
Administrative Team Leader/IT Team Leader
PAND’s current administrative team is a thriving group that performs many day-to-day functions for the firm. They are well versed in each other’s roles and work well together. The successful candidate will need to manage the team on a high-level and oversee workflow, vacation requests, role changes and dispute resolution. They will also need to work directly with the partner that oversees the administrative team and suggest process improvements, conduct annual reviews, and train when new adaptations to their roles requires it.
The successful candidate will oversee the IT support team and must be computer savvy and be comfortable working with and around computers.
The Ideal Candidate:
- 5-7 years of experience as an HR Professional with a diploma in a related field or the equivalent experience.
- Knowledge of human resources practices, recruitment, and employment legislation.
- Strong knowledge of Microsoft Office (Word, Excel, Outlook, etc.).
